Terms and Conditions

These Terms and Conditions govern all consultations, appointments, treatments, products and services provided by Hillsborough Aesthetics Limited ("the Clinic", "we", "our" or "us").
By booking an appointment or attending the Clinic, you confirm that you have read, understood and agree to these Terms and Conditions.
These Terms and Conditions are intended to ensure the safe, professional and efficient delivery of our services whilst protecting both our patients and our Clinic.
1. About Us
Hillsborough Aesthetics Limited is a doctor-led medical aesthetics clinic providing consultations and non-surgical aesthetic treatments from:
All medical treatments are carried out only following an appropriate clinical assessment by a suitably qualified healthcare professional.
2. Definitions
Throughout these Terms and Conditions:
3. Booking Appointments
Appointments may be booked:
- online through our booking system;
- by telephone;
- by email;
- in person; or
- by any other booking method offered by the Clinic.
Appointments are not confirmed until the required booking deposit (where applicable) has been received and confirmation has been issued by the Clinic.
The Clinic reserves the right to refuse any booking where appropriate, including where:
- treatment is not clinically appropriate;
- requested appointments are unavailable;
- previous appointments have been repeatedly missed;
- abusive or inappropriate behaviour has occurred; or
- there are reasonable concerns regarding patient safety.
4. Booking Deposits
Most appointments require payment of a £30 booking deposit.
The booking deposit:
- secures your appointment;
- is deducted from the cost of treatment on the day of your appointment;
- is not an additional treatment fee.
Medical Weight Management consultations and follow-up appointments operate under separate booking and payment arrangements and are therefore excluded from the standard £30 booking deposit policy unless otherwise stated.
Deposits are non-refundable but may be transferred to another appointment where our cancellation policy has been complied with.
The Clinic reserves the right to request full payment in advance for certain appointments where appropriate.
5. Consultation Appointments
Every patient is entitled to an appropriate consultation before undergoing treatment.
Consultations allow the Practitioner to:
- understand your concerns and treatment goals;
- obtain a relevant medical history;
- review medications and allergies;
- assess clinical suitability;
- discuss appropriate treatment options;
- explain expected benefits;
- explain potential risks and complications;
- answer any questions you may have.
Treatment recommendations are made solely in the interests of patient safety and clinical appropriateness.
Attendance at a consultation does not guarantee that treatment will be offered or performed.
Where a Practitioner considers that treatment is not appropriate or is not in your best interests, treatment will not proceed.
6. Cancellation and Rescheduling
We understand that appointments occasionally need to be changed.
If you need to cancel or rearrange your appointment, we ask that you provide at least 48 hours' notice.
Where at least 48 hours' notice is given:
- your booking deposit may be transferred to another available appointment.
Appointments cancelled with less than 48 hours' notice will result in the booking deposit being forfeited.
Where possible, we will always endeavour to accommodate requests to rearrange appointments; however, this cannot be guaranteed and remains subject to availability.
7. Failure to Attend
Patients who fail to attend an appointment without notifying the Clinic ("no-shows") will forfeit their booking deposit.
Repeated missed appointments may result in future appointments requiring payment in full at the time of booking or, where appropriate, refusal of future bookings.
This policy enables us to offer appointments to other patients and minimise wasted clinical time.
8. Late Arrivals
We ask all patients to arrive promptly for their appointment.
Patients arriving late may not receive their full appointment where insufficient time remains to complete treatment safely.
Where a late arrival prevents treatment from proceeding or significantly disrupts the clinic schedule, the appointment may be treated as a missed appointment and the booking deposit may be forfeited.
Whether treatment can proceed following a late arrival remains entirely at the discretion of the Practitioner.
Patient safety will always take priority over maintaining appointment schedules.
9. Clinic Cancellation or Rescheduling
On rare occasions it may be necessary for the Clinic to rearrange or cancel appointments due to circumstances beyond our reasonable control.
Examples include:
- practitioner illness;
- medical emergencies;
- equipment failure;
- utility interruptions;
- severe weather;
- unforeseen operational circumstances.
Where this occurs, we will make every reasonable effort to contact you as soon as possible and arrange an alternative appointment at the earliest mutually convenient opportunity.
The Clinic shall not be liable for any indirect costs or losses arising from appointment cancellations or rescheduling.
10. Medical Suitability
Patient safety is our highest priority.
All treatments provided by the Clinic are subject to an individual medical assessment undertaken by an appropriately qualified healthcare professional.
Before recommending or providing treatment, we may assess:
- your medical history;
- current medical conditions;
- previous cosmetic procedures;
- current medications;
- allergies;
- pregnancy or breastfeeding status;
- lifestyle factors where clinically relevant;
- previous complications from aesthetic treatments; and
- any other information considered necessary to determine whether treatment is appropriate.
Patients are responsible for ensuring that all information provided is accurate, complete and up to date.
Failure to disclose relevant medical information may increase the risk of complications and may affect the suitability, safety or effectiveness of treatment.
11a. Medical Eligibility
Not every patient will be suitable for treatment.
Treatment recommendations are made solely on clinical grounds and in the interests of patient safety.
The Clinic reserves the right to decline, postpone or discontinue treatment where, in the opinion of the treating Practitioner:
- treatment is not clinically appropriate;
- treatment is unlikely to achieve an appropriate outcome;
- the potential risks outweigh the expected benefits;
- further medical assessment is required;
- consent cannot be obtained;
- sufficient information has not been provided;
- the patient appears to have unrealistic expectations;
- treatment would be unethical or contrary to professional guidance; or
- proceeding would otherwise not be in the patient's best interests.
Treatment refusal does not imply criticism of the patient and is undertaken solely to maintain safe medical practice.
11b. Prescription-Only Medications
Some treatments offered by the Clinic involve the prescribing and administration of Prescription Only Medicines (POMs), including but not limited to botulinum toxin and medicines used for Medical Weight Management.
Prescription Only Medicines are prescribed only following an appropriate medical assessment by a suitably qualified prescriber.
Booking a consultation or treatment appointment does not guarantee that a prescription will be issued or that treatment will proceed.
Prescribing decisions are based solely on clinical judgement, patient safety and current professional guidance.
12. Age Restrictions
The Clinic does not provide aesthetic treatments to individuals under the age of 18 years.
Patients may be asked to provide photographic identification to confirm their age before treatment.
Where satisfactory proof of age cannot be provided, treatment may be postponed or declined.
13. Pregnancy and Breastfeeding
Patient safety remains our primary concern.
The Clinic does not carry out elective aesthetic treatments during pregnancy or whilst breastfeeding unless there is an appropriate medical indication and the treating Practitioner considers treatment to be clinically justified.
Patients who become pregnant after booking an appointment should inform the Clinic as soon as reasonably possible.
Where treatment cannot proceed because of pregnancy or breastfeeding, we will discuss the available options with you.
Gift vouchers and deposits may be honoured outside their normal validity period where treatment has been postponed solely because of pregnancy, at the discretion of the Clinic.
14a. Informed Consent
Before treatment is carried out, patients will be provided with appropriate information regarding the proposed procedure.
This will include, where appropriate:
- the purpose of treatment;
- expected benefits;
- alternative treatment options;
- expected recovery;
- potential side effects;
- recognised risks and complications;
- aftercare requirements;
- likely longevity of results; and
- any limitations of treatment.
Patients will be given the opportunity to ask questions before deciding whether to proceed.
Treatment will only be undertaken once the Practitioner is satisfied that the patient has:
- capacity to consent;
- understood the information provided;
- had an opportunity to ask questions; and
- provided voluntary informed consent.
Consent may be withdrawn at any time before treatment commences.
Clinical Photography
Clinical photographs may be taken before, during or after treatment where considered clinically appropriate.
These photographs form part of your confidential medical record and assist with assessment, treatment planning and clinical review.
Clinical photographs will not be used for marketing, advertising, educational purposes or on social media without your separate written consent.
You are under no obligation to consent to marketing use of your photographs, and declining consent will not affect the care or treatment you receive.
14b. Independent Clinical Decision Making
All clinical decisions are made independently by the treating Practitioner in accordance with their professional judgement, applicable legislation, GMC guidance and accepted standards of medical practice.
The wishes of a patient will always be carefully considered; however, treatment will only be provided where the Practitioner believes it is safe, appropriate and in the patient's best interests.
The Clinic will not provide treatment that is considered clinically inappropriate, unsafe or unethical, even where requested by the patient.
15. Patient Responsibilities
Patients are responsible for:
- providing complete and accurate medical information;
- informing us of any changes to their medical history or medication before treatment;
- following all pre-treatment advice;
- following all aftercare advice;
- attending review appointments where clinically indicated;
- contacting the Clinic promptly if they experience unexpected symptoms following treatment.
The Clinic cannot accept responsibility for complications arising from inaccurate, incomplete or misleading medical information provided by a patient.
16. Expected Results
Although we aim to achieve the best possible outcomes for every patient, no medical or cosmetic treatment can guarantee a particular result.
Individual outcomes vary depending on factors including:
- anatomy;
- skin quality;
- age;
- healing response;
- lifestyle;
- smoking;
- sun exposure;
- underlying medical conditions; and
- adherence to aftercare advice.
Photographs shown during consultations or displayed with patient consent are intended to illustrate potential outcomes only and should not be interpreted as guarantees of individual results.
17. Review Appointments
Many treatments include or may require a review appointment.
Review appointments allow the Practitioner to assess treatment outcome, discuss any concerns and determine whether any further treatment is clinically appropriate.
Review appointments are offered at the discretion of both the treating Practitioner and the patient.
Attendance at a review appointment does not automatically mean that further treatment will be recommended or provided.
Where additional treatment is clinically indicated beyond the agreed treatment plan, additional charges may apply.
18. Aftercare
Patients will receive appropriate aftercare advice following treatment.
It is the patient's responsibility to follow all aftercare instructions provided by the Clinic.
Failure to follow aftercare advice may:
- affect treatment results;
- prolong recovery;
- increase the risk of complications; or
- require additional treatment.
Patients who experience unexpected pain, swelling, visual disturbance, signs of infection or any other concerning symptoms should contact the Clinic immediately using the contact details provided.
Where a medical emergency occurs, patients should seek immediate emergency medical attention by attending their nearest Emergency Department or contacting the emergency services.
19. Complications
All medical and aesthetic procedures carry recognised risks, side effects and potential complications.
Prior to treatment, these will be discussed with you as part of the informed consent process, allowing you to make an informed decision about whether to proceed.
Whilst every reasonable precaution is taken to minimise risk, complications can still occur despite appropriate treatment and adherence to accepted clinical standards.
Potential complications vary depending on the procedure performed and may include, but are not limited to:
- bruising;
- swelling;
- redness;
- tenderness;
- infection;
- allergic reactions;
- asymmetry;
- unsatisfactory cosmetic outcome;
- delayed healing;
- scarring;
- vascular complications;
- skin injury; and
- other recognised treatment-specific risks.
Many complications are minor and resolve with appropriate management. Where clinically appropriate, the Clinic will provide follow-up care and advice to support your recovery.
In the unlikely event of a serious complication requiring treatment beyond the services we are able to provide, you may be referred to an appropriate NHS service or another suitably qualified healthcare provider. Any costs associated with private treatment outside Hillsborough Aesthetics Limited remain the responsibility of the patient unless otherwise agreed.
20. Emergency Contact Following Treatment
Patients will be provided with appropriate aftercare advice and emergency contact information following treatment where clinically appropriate.
If you have concerns regarding your treatment, you should contact the Clinic as soon as reasonably possible using:
These communication channels are monitored regularly to allow timely advice where appropriate.
Patients experiencing severe pain, sudden vision changes, rapidly worsening swelling, difficulty breathing or any other medical emergency should not wait for a response from the Clinic and should seek immediate emergency medical attention by contacting 999 or attending their nearest Emergency Department.
21. Fees and Payment
Treatment fees are displayed on our website or provided during consultation.
Full payment is required on the day of treatment unless alternative arrangements have been agreed in advance.
We accept payment using approved payment methods offered by the Clinic.
Prices may change periodically. Any changes will not affect appointments that have already been confirmed unless additional treatment is requested.
Deposits paid in accordance with these Terms and Conditions will be deducted from the treatment cost where applicable.
Where additional products or treatment are requested during an appointment, additional charges may apply.
22. Medical Weight Management
Medical Weight Management is a prescription-only medical service.
Eligibility for treatment is determined following an individual medical assessment by a prescribing healthcare professional.
Treatment is offered only where it is clinically appropriate and in accordance with current prescribing guidance and professional standards.
Prescription medication will not be supplied where the prescribing Practitioner considers treatment to be unsafe or inappropriate.
Attendance at an assessment does not guarantee that treatment or a prescription will be provided.
Patients remain responsible for following all dietary, exercise and lifestyle advice provided as part of their treatment programme.
Medication should only be used exactly as prescribed.
Patients must promptly report any side effects, new medical conditions or changes to medication whilst receiving Medical Weight Management treatment.
23. Gift Vouchers
Gift vouchers are available for selected treatments and services.
Gift vouchers:
- are valid for 12 months from the date of purchase unless otherwise stated;
- cannot be exchanged for cash;
- are non-refundable;
- must be presented at the time of redemption where requested.
Gift vouchers may not be redeemed against treatments that are subsequently considered clinically inappropriate.
Where treatment is postponed because of pregnancy or another medical reason determined by the treating Practitioner, the Clinic may extend the validity period at its discretion.
Lost, stolen or damaged gift vouchers may not be replaced.
24. Children and Visitors
To maintain a safe and professional clinical environment, we request that patients attend appointments unaccompanied wherever possible.
Children under the age of 16 should not attend appointments unless accompanied by another responsible adult who is able to supervise them throughout the appointment.
The Practitioner must be able to devote their full attention to the patient receiving treatment.
Where accompanying children create a safety concern or significantly disrupt treatment, the appointment may need to be postponed.
25. Patient Conduct
We are committed to providing a respectful, safe and welcoming environment for patients and staff.
We ask all patients to treat members of staff and other visitors with courtesy and respect.
The Clinic reserves the right to refuse treatment or terminate appointments where a patient displays behaviour including, but not limited to:
- abusive, threatening or aggressive behaviour;
- harassment or discrimination;
- behaviour placing staff or other patients at risk;
- deliberate damage to Clinic property;
- attending under the influence of alcohol or illicit drugs where this affects safety or capacity to consent.
Where appropriate, abusive behaviour may result in discharge from the Clinic and future appointments being declined.
26. Treatment Refusal and Discontinuation
The Clinic reserves the right to refuse or discontinue treatment at any stage where it is considered clinically appropriate to do so.
Examples include, but are not limited to:
- concerns regarding patient safety;
- inability to obtain valid informed consent;
- suspected undisclosed medical conditions;
- unrealistic treatment expectations;
- repeated failure to follow medical advice;
- inappropriate behaviour towards staff; or
- any circumstance in which treatment is no longer considered to be in the patient's best interests.
Where treatment is declined on clinical grounds before any procedure has commenced, the reasons will be explained wherever appropriate.
27. Complaints
We are committed to providing safe, professional and high-quality care to every patient.
If you are dissatisfied with any aspect of your care or experience at Hillsborough Aesthetics Limited, we encourage you to let us know as soon as possible so that we have the opportunity to investigate and resolve your concerns promptly.
Complaints may be made:
- in person;
- by telephone;
- by email; or
- in writing.
Complaints received through social media platforms may not be monitored promptly and should not be relied upon for urgent communication.
We aim to acknowledge complaints within three working days and will investigate them fairly, thoroughly and confidentially.
Where appropriate, you may be invited to attend a further consultation to allow us to fully assess your concerns.
Our Complaints Policy is available upon request.
Nothing within these Terms and Conditions affects your legal rights.
28. Privacy and Confidentiality
We are committed to protecting your privacy and maintaining the confidentiality of your personal information.
Personal information is collected, processed and stored in accordance with:
- UK General Data Protection Regulation (UK GDPR);
- Data Protection Act 2018;
- applicable Northern Ireland legislation; and
- our Privacy Policy.
By booking an appointment or receiving treatment, you acknowledge that we will process your personal information where necessary to:
- provide safe clinical care;
- maintain accurate medical records;
- comply with legal and professional obligations;
- administer appointments and payments; and
- communicate with you regarding your care.

29. Intellectual Property
Unless otherwise stated, all content published by Hillsborough Aesthetics Limited, including but not limited to:
- text;
- logos;
- branding;
- photographs;
- graphics;
- educational material;
- treatment information; and
- website content,
remains the intellectual property of Hillsborough Aesthetics Limited or its licensors.
Content may not be copied, reproduced, modified, distributed or used for commercial purposes without our prior written permission.
This does not affect your right to access information for your own personal use.
30. Liability
Nothing within these Terms and Conditions excludes or limits liability where such limitation would be unlawful.
To the fullest extent permitted by law, Hillsborough Aesthetics Limited shall not be liable for indirect, incidental or consequential losses arising from:
- delays or cancellation of appointments;
- failure to follow pre-treatment or aftercare advice;
- failure to disclose relevant medical information;
- circumstances beyond our reasonable control; or
- outcomes that represent recognised risks or limitations of properly performed medical procedures.
Nothing in these Terms excludes liability for:
- death or personal injury resulting from negligence;
- fraud or fraudulent misrepresentation; or
- any liability that cannot lawfully be excluded under the laws of Northern Ireland or the United Kingdom.
31. Force Majeure
The Clinic shall not be responsible for any delay, interruption or failure to provide services resulting from circumstances beyond our reasonable control.
Examples include, but are not limited to:
- severe weather;
- flooding;
- fire;
- utility failures;
- internet or telecommunications outages;
- pandemics;
- government restrictions;
- industrial action;
- supplier failures; or
- medical emergencies affecting the Practitioner.
Where reasonably possible, appointments affected by such events will be rearranged at the earliest available opportunity.
32. Changes to These Terms and Conditions
We reserve the right to amend these Terms and Conditions at any time.
Any updated version will be published on our website and will take effect from the date of publication unless otherwise stated.
Patients are encouraged to review these Terms and Conditions periodically before attending appointments.
33. Governing Law
These Terms and Conditions shall be governed by and interpreted in accordance with the laws of Northern Ireland.
Any dispute arising from these Terms and Conditions or from services provided by Hillsborough Aesthetics Limited shall be subject to the exclusive jurisdiction of the courts of Northern Ireland.
34. Acceptance of Terms
By booking an appointment with Hillsborough Aesthetics Limited, attending a consultation or receiving treatment, you acknowledge that you have read, understood and agree to these Terms and Conditions.
Where appropriate, these Terms and Conditions may be supplemented by treatment-specific consent forms, aftercare advice and other clinic policies.
